Planning a WhatsApp Campaign Calendar That Does Not Burn the List

How to plan a month of WhatsApp campaigns: how many sends, how to split them across segments, what to leave out, and leaving room for the unplanned message.

Most WhatsApp calendars fail because they are built from what the business wants to say rather than from what the list can absorb.

Quick answer: Plan a WhatsApp calendar from a per-recipient frequency budget rather than a campaign count. Decide the maximum marketing messages any one contact receives in a month — usually two to four — then allocate campaigns across segments so total sends can be higher while nobody is over-messaged. Always leave one slot unspent for the unplanned message.

Start with a per-recipient budget, not a campaign count

A calendar showing eight campaigns in a month sounds like a plan until you notice that four of them go to the same segment. The number that matters is not how many campaigns you run, it is how many any single person receives.

Set that ceiling first. Two to four marketing messages a month suits most businesses, with utility messages such as order updates sitting outside the budget because they follow something the customer did.

Allocating across segments

  1. List your segments and their sizes.
  2. Assign each campaign to the segments it is genuinely relevant to, not to everyone.
  3. Count, per segment, how many messages a member of it will receive that month.
  4. Where a segment exceeds the budget, cut the weakest campaign rather than shortening the others.
  5. Leave one slot per segment unallocated.

Why the unspent slot matters

Something will come up: a stock arrival, a delay, a competitor move, a genuine opportunity. If the calendar is full, that message either does not go out or goes out on top of a full budget.

The reserved slot is what turns a rigid calendar into a usable one, and it is the first thing most teams cut.

Mixing message types

A calendar consisting entirely of offers trains people to skim. Mixing in a message with no ask keeps the channel worth reading, which is what makes the offers land when they come.

  • One message that gives something away with no ask
  • One that promotes with a clear, specific offer
  • One that asks a question and invites a reply
  • Utility and order messages, which sit outside the marketing budget entirely

Reviewing monthly on the right numbers

Review on opt-out and block rate first, reply rate second, conversions third. A month that converted well while doubling the opt-out rate has borrowed from next quarter.

If the block rate is rising, reduce frequency before changing anything else. Cadence moves that number far more than copy does.

Frequently asked questions

How many WhatsApp campaigns should I run per month?

Plan per recipient rather than per campaign. Most businesses cap any one contact at two to four marketing messages a month; total campaign count can be higher when they are split across segments.

Do order updates count towards the frequency budget?

No. Utility messages follow something the customer did and are generally welcome, so they sit outside the marketing budget. Do not use that as a way to smuggle promotions into utility templates.

What should I cut when the calendar is over budget?

The weakest campaign, not the length of the others. Shortening messages does not reduce the number of interruptions, and it is interruptions that drive the block rate.

How do I know if I am over-messaging?

Watch opt-out and block rate rather than reply rate. Replies can stay healthy while blocks climb, and it is blocks that cost you the quality rating and the messaging tier.
