Small businesses get sold bulk WhatsApp marketing software built for someone else: per-seat plans designed for call centres, contact tiers designed to upsell, and credit wallets designed to hide a markup. Here is what the right fit looks like for a team of one to five.

Quick answer: Bulk WhatsApp marketing software for small business should be an official Meta Business API platform on a flat annual fee, with unlimited agents and contacts, approved-template campaigns, segmentation, scheduling, delivery reports, a shared inbox and a chatbot. WappBlaster is ₹7,999 a year in India, $200 elsewhere, with Meta’s per-message charge passed through at cost.

What is bulk WhatsApp marketing software for small business?

It is software that sends approved marketing messages to an opted-in customer list through Meta’s WhatsApp Business Platform, and gives a small team the tools around that send: who to message, when, what happened, and where the replies go.

The small-business qualifier is about pricing shape and setup effort more than features. A five-person team needs most of what a fifty-person team needs; it cannot absorb the same pricing model.

  • Campaigns: a composer for Meta-approved templates with personalisation fields, images, documents and buttons.
  • Segments: tag contacts by source, purchase, city or language and message the segment, not the list.
  • Scheduling: send at the hour your customers actually read, including by timezone if you sell outside India.
  • Reports: delivered, read, replied and clicked, per template and per contact.
  • Inbox: replies land in one shared inbox that the whole team can work from, on phone or desktop.
  • Chatbot: answers the obvious questions after hours and hands the rest to a person.

The three pricing traps small businesses fall into

Per-agent pricing

Fine at two seats. Then the part-timer, the owner’s phone and the weekend helper each become a line on the bill. Small teams have more people touching WhatsApp than they have “agents”.

Contact tiers

A plan that covers 2,000 contacts looks cheap until Diwali brings the list to 2,400 and the platform asks for the next tier. Growth becomes a penalty.

Credit wallets

Buying “message credits” blends the platform’s markup into Meta’s rate so you cannot see either. Ask any provider to show Meta’s charge and theirs as two separate lines.

The fix is structural: one flat annual platform fee, and Meta’s per-message charge itemised separately at cost. That is how WappBlaster is priced, and it is the single thing to check before anything else.

What it actually costs

  • Platform fee: ₹7,999 per year in India, $200 per year elsewhere. Unlimited agents, unlimited contacts, unlimited API calls.
  • Meta’s per-message charge: set by Meta for the recipient’s country and the template category. Billed per message since 1 July 2025. Passed through at 0% markup.
  • Service replies: free inside the 24-hour customer-service window today; Meta has announced they become billable from 1 October 2026 (details).
  • Onboarding: included. Business verification, template approval help and the first campaign, done with you.

Worked example: a boutique with 3,000 opted-in customers sending two campaigns a month pays the flat fee plus Meta’s charge on roughly 6,000 marketing messages. The Meta line is the bigger one, which is exactly why the platform line should be flat. Run your own numbers on the WhatsApp marketing cost calculator.

Setting it up with a team of one to five

1
Pick the number. A dedicated business number, not the owner’s personal one. A new SIM or even a landline works on the official platform.
2
Verify the business on Meta. Done with you on a call; typically two to five working days, which is why you start before the season, not during it.
3
Import the opted-in list with tags. CSV or Google Sheet, with source, city and last purchase as columns. Those columns become your segments.
4
Submit three templates. One offer, one reminder, one re-engagement. Meta approves them; you reuse them all year.
5
Send to one segment first. A few hundred contacts with a reason to receive it. Read the report, then scale.

What small teams get wrong

  • Blasting the whole list. Blocks rise, Meta’s quality rating falls, and the messaging tier stops growing. Segments of a few hundred beat blasts of thousands.
  • Messaging too often. Two to four marketing messages a month is the ceiling for most consumer lists. See campaign frequency best practice.
  • No one watching the inbox. A campaign that gets replies and no answers is worse than no campaign. The shared inbox exists so that whoever is free replies.
  • Buying a list. It is not consent under the DPDP Act, and it produces block reports faster than any content mistake.

See the full feature and pricing picture on the Bulk WhatsApp Sender Software page, compare it against per-seat providers on the comparison hub, or start the free trial on your own number with no card. If you are a very small operation and mainly want to follow up after phone calls rather than broadcast, Auto WhatsApp After Call may be the better first product.

Frequently asked questions

What is the best bulk WhatsApp marketing software for small business?

The best fit for a small business is an official Meta Business API platform with a flat annual fee rather than per-agent or per-contact pricing, because a small team’s costs should not rise every time a part-timer joins or the list grows. It should include campaigns with approved templates, basic segmentation, scheduling, delivery reports, a shared inbox and a chatbot for after-hours replies, with onboarding done with you rather than left to a help centre.

How much does bulk WhatsApp marketing software cost for a small business?

On WappBlaster the platform fee is a flat ₹7,999 a year in India or $200 a year elsewhere, for unlimited agents and unlimited contacts. On top of that, Meta charges per marketing message at a rate set by Meta for the recipient’s country, passed through at cost. Per-seat BSPs typically charge ₹2,000 to ₹15,000 per month depending on plan, which is where small teams get squeezed.

Can a small business use the WhatsApp Business app instead of bulk software?

For replying to customers one to one, yes, and it is free. For marketing it stops working quickly: broadcast lists cap at 256 contacts who have saved your number, there is no scheduling or segmentation, and there are no delivery reports. Most small businesses hit those limits within the first few months of trying to use it for campaigns.

Do I need a developer to set up bulk WhatsApp marketing?

No. Business verification, template approval and the first campaign are set up with you on a call, on AnyDesk, Google Meet or Zoom. The campaign composer, segments, scheduling and inbox are all in a dashboard. The API and webhooks are there for when you want a developer to connect something, not as a prerequisite.

How many contacts can a small business message at once?

On the official platform there is no list cap from the software side. Meta applies a messaging tier to each new number that grows with quality, starting at 1,000 unique recipients in 24 hours and rising automatically to 10,000, 100,000 and unlimited as the number sends successfully without quality drops. Small businesses rarely touch the ceiling.

Is bulk WhatsApp marketing worth it for a small business?

For a business whose customers are already on WhatsApp, which in India is almost every business, it is usually the highest-read channel available. Read rates on WhatsApp routinely exceed email open rates several times over. The economics work when the list is opted-in and the messages are segmented; they fail when a small business treats it as SMS blasting.

What should a small business avoid when choosing bulk WhatsApp software?

Per-agent pricing, contact-tier upgrades, a markup hidden inside message credits, and any tool that asks you to scan a QR code from your phone, which means it is automating the consumer app rather than using the official API and will get the number banned.
