Most HubSpot portals already hold the signals that say a contact is ready to talk: a stage moved, a meeting got booked, a renewal date is close. WappBlaster connects HubSpot to the official WhatsApp Business Platform so those signals send a template message at the right moment, and the reply lands back on the contact record. The hard part is choosing which workflows deserve a WhatsApp message at all.
Start HubSpot workflows from intent, not from whatever fires easiest
A form submission is the trigger everyone builds first, because it is simple. It is also the moment the prospect is most likely to be reading your thank-you page and least likely to need a second nudge. A deal entering "Proposal sent" or sitting in "Negotiation" for ten days is different: someone has to make a decision, and a short message from the rep's team often gets an answer that three emails did not.
Before building anything, list your pipeline stages and ask of each one: what is the buyer waiting for here, and would a WhatsApp message help them or interrupt them?
Ten HubSpot WhatsApp workflows to copy into your portal

| 2 | One hour before meeting | Reminder with the video link or office location | Utility |
| 3 | Deal enters "Proposal sent" | Proposal PDF attached, button to ask a question | Utility |
| 4 | Deal idle in "Negotiation" for 10 days | Short check-in from the deal owner's team | Marketing |
| 5 | Lifecycle becomes MQL | Offer of a call slot with quick-reply buttons | Marketing |
| 6 | Deal closed won | Welcome, onboarding contact and first steps | Utility |
| 7 | Ticket closed | One-question satisfaction check | Utility |
| 8 | Renewal date minus 60 days | Renewal notice with the account manager's name | Utility |

| 10 | Event registration | Venue pin the day before, entry pass on the day | Utility |
Each one needs an enrolment filter on a WhatsApp consent property. Without it, a workflow will happily message a contact who only ever agreed to email.
Three ways to wire HubSpot to the WhatsApp send
- The native HubSpot connector. Map HubSpot properties to template variables and choose the trigger inside WappBlaster. This suits most teams and needs no developer.
- A webhook action in a HubSpot workflow. The workflow calls WappBlaster's REST API with a scoped key. Webhook actions sit on HubSpot's paid tiers, and this route gives you the most control over branching.
- A visual automation tool. If your stack already runs on Zapier, Make or n8n, build the trigger there and keep all your automations in one place.
Sending WhatsApp replies back into the HubSpot timeline
A WhatsApp workflow that does not write back creates a second, invisible CRM in somebody's inbox. WappBlaster sends signed webhooks for delivered, read, replied, button-clicked, opted-out and failed events, with retries if your endpoint is briefly down. Use them to:
- log the reply text as a note on the contact;
- set a "WhatsApp last reply" date property, so reps can filter for warm contacts;
- flip the consent property to false on an opt-out, which removes the contact from every workflow at once;
- create a task for the deal owner when a "Talk to sales" button is tapped.
The webhook documentation for developers lists the payload fields for each event.
Stopping double WhatsApp sends from HubSpot workflows
HubSpot workflows re-enrol contacts when properties change back and forth, which is how a prospect ends up with the same proposal message twice. Turn off re-enrolment unless you have a reason for it, and add a delay check: if the deal has moved on by the time the message is due, skip it. Keep the template library mapped to stages in a shared sheet so marketing and sales do not submit near-duplicates for approval. The platform is a flat ₹7999 a year in India ($200 elsewhere), and Meta's charge for each delivered template goes on top at cost, so a runaway loop shows up on an itemised bill quickly.
HubSpot workflows that should stay on email
Long nurture sequences, newsletters and anything with five links belong in email. So does anything that goes to a contact whose WhatsApp consent property is empty. If a workflow's only purpose is to "touch" a contact, it will cost you blocks and quality rating on the number your reps rely on for live deals.
