Almost every bulk WhatsApp campaign starts life as a spreadsheet: a column of numbers, a column of names, and something somebody wants to tell all of them. The question is only what happens between the sheet and the send. Here is the version that personalises every row and keeps the number.

Quick answer: To blast WhatsApp from Excel, save the sheet as CSV with numbers in international format, upload it to an official WhatsApp Business API platform, map columns to an approved template’s variables, pick the segment and send. What “WhatsApp blaster from Excel” means

Two very different things:

  • Excel as the engine: a VBA macro or add-in that opens WhatsApp Web and sends row by row from your own account. Same mechanism as every desktop blaster, same ban.
  • Excel as the data source: the sheet is uploaded, or a Google Sheet is connected, and an official platform sends through Meta’s API with approved templates. The spreadsheet does what spreadsheets are good at; the sending is done where it is allowed.

Preparing the sheet

One row per contact, one column per field. Phone, first name, and whatever you want in the message or the segment: city, language, order number, amount, link.

Numbers in international format. Country code then number, no plus, spaces, dashes or leading zero: 919876543210, not +91 98765-43210. Format the column as text so Excel does not drop the leading 9 or turn it into scientific notation.

Add a consent column. Source and date of opt-in. It becomes the record on the contact, and it is the filter you send to.

Save as CSV (UTF-8). So Hindi, Arabic or Chinese names survive the export.

Mapping columns to the message

The template is approved once with placeholders: Hi {{1}}, your order {{2}} of ₹{{3}} ships {{4}}. On upload you point {{1}} at the name column, {{2}} at order number, and so on. Every row fills its own message. A per-customer link, say a payment link or a catalogue page, is just another column.

Columns as segments

This is where the sheet earns its keep. Any column can be a tag, and a segment is a filter on tags. “City = Pune AND language = Marathi AND last_purchase within 90 days” is a segment, built in the dashboard, no new sheet required. Language tags also decide which approved template each contact gets, so one upload can drive a Hindi send and an English send.

Why not a macro

  • It sends from your consumer account, capped at 256-contact broadcasts and watched for automation.
  • Your phone must stay online and WhatsApp Web open on that PC.
  • No delivered or read data comes back; the sheet never learns what happened.
  • No templates, so no buttons, no approved media headers, no verified business name on the recipient’s screen.
  • The ban lands on the number, not on the macro.

What comes back to the sheet

On the official platform, every row produces events: delivered, read, replied, clicked. They show in the report per contact, export back to CSV, or post to a Google Sheet or CRM through webhooks. The next campaign’s segment can be “read but did not reply”, which is a thing a macro can never tell you.
