WhatsApp Business App vs Shared Inbox: When You Have Outgrown the App

The WhatsApp Business app works until it does not. The exact limits that force a move to the API and a shared team inbox, and what you lose and gain.

The app is free and fine, right up to the day two people need to answer the same number.

Quick answer: Move from the WhatsApp Business app to the API with a shared inbox when more than one or two people need to answer the same number, when broadcast lists stop being enough at 256 contacts, or when losing the conversation history with a departing employee becomes a real risk. The trade-off is that a number on the API can no longer be used in the app.

The broadcast list trap

The app’s broadcast list is capped at 256 contacts, and it only delivers to people who have saved your number in their phone. That second condition is the one that surprises people: a 256-contact broadcast can reach a fraction of that in practice.

On the API there is no broadcast-list concept and no saved-number requirement. What limits you instead is the Meta messaging limit, which starts at 1,000 unique customers per 24 hours and rises with your sending record.

Usually yes. A number already on the WhatsApp Business app can be registered as a co-existing number, so you keep the number your customers already have. Once it is on the API it can no longer be used in the app.
